Overview

Park Family Office LA is seeking an Executive Administrative Assistant. This role supports leadership in managing commercial real estate development, construction projects, and residential property builds. Providing high-level executive administrative support to Park Family Office LA Principals and construction team. The position requires strong project coordination skills and the ability to manage both strategic initiatives and day-to-day operational needs, including residential maintenance oversight. Responsibilities also include general office administration, handling personal errands, managing vehicle maintenance, event planning, estate management support, and providing additional administrative support to the principal as needed

Responsibilities

Executive, Construction & Real Estate Support

  • Serve as the primary administrative liaison between ownership, executive-level stakeholders, contractors, and vendors.
  • Manage and prioritize complex calendars, meetings, and critical project deadlines.
  • Maintain confidential documents including contracts, legal correspondence, and financial summaries.
  • Coordinate owner-level responsibilities across commercial development, residential maintenance, and active project sites.
  • Track project deliverables and ensure deadlines are met for construction and maintenance initiatives.
  • Support planning and execution of construction projects including bid tracking, permitting coordination, document tracking, and consultant management.
  • Organize and attend construction site meetings, walkthroughs, and briefings — recording key decisions and follow-ups.
  • Maintain construction documentation (contracts, submittals, invoices, insurance, etc.) for multiple projects
  • Maintain an organized office environment, including managing office supplies, refreshments, and handling occasional personal errands.

Estate Maintenance Support

  • Assist with managing estate maintenance requests and service calls, acting as a liaison between residents, vendors, and ownership.
  •  Schedule, track, and follow up on property repairs, inspections, and preventative maintenance.
  • Source estate service providers, collect bids, and help evaluate contractors and quality of work.
  • Maintain logs and records of estate maintenance, warranties, and improvement projects.
  • Ensure all services are delivered in a timely, cost-effective, and professional manner.
  •  Communicate clearly with property contacts when coordinating services on behalf of ownership.
  • Oversee estate maintenance schedule including coordination of seasonal and annual repairs.

Safety and Security

  • Maintain confidentiality of all business, financial, legal, and property matters of ownership.
  • Follow safety and regulatory protocols when present at project or property sites.
  • Identify and help address safety or compliance concerns related to property or vendor activity.

Improvement and Initiative

  • Recommend improvements to administrative workflows related to construction, real estate, or estate management.
  • Participate in relevant professional development or systems training.
  • Stay up to date on tools, policies, and procedures related to permitting, maintenance management, and contractor compliance.

Teamwork and Accountability

  • Serve as a reliable and high-performing partner to ownership and executive leadership.
  • Communicate clearly and diplomatically with internal and external contacts.
  • Handle competing priorities with professionalism and ownership mindset.

 

Qualifications

Education:

  • Associate or bachelor’s degree

Experience:

  • Minimum 8 years of experience providing high-level executive administrative support.
  • At least 5 years of experience supporting construction or development project leadership.
  • At least 2 years of experience in estate management
  • Proficient in Microsoft Office Suite, especially Outlook, Excel, and Word.
  • Proficiency with Canva, Adobe, and cloud (Dropbox) preferred.
  • Experience using project management or property management tools is a plus.
  • Familiarity with construction documentation, maintenance tracking, and permit coordination.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Comfortable managing multiple priorities across various business units and asset types.
  • Demonstrated professionalism in fast-paced and high-accountability environments.
  • Experience coordinating estate vendors, scheduling work orders.

Physical and Mental Requirements:

  • Must be able to perform all essential duties with or without accommodation.
  • Comfortable visiting active construction sites, personal residences, and field locations.
  • Ability to lift and transport light items (e.g., documents, small equipment, supplies).
  • Ability to manage multiple priorities with a high degree of accuracy and attention to detail.
  • Capable of handling high-pressure, high-responsibility assignments in a professional manner.
